As early as possible! The earlier a reservation is placed, the more likely we are able to ensure equipment, décor, and service availability! 

 

Please reserve enough equipment for the maximum number of guests expected for your event. This number can be decreased/increased without penalty as the event approaches. FINAL NUMBERS are required two weeks prior to the event date. 

A NONREFUNDABLE deposit is required to reserve all rental equipment, décor, and services. The amount of the deposit will be 50% of the initial rental reservation. This is to ensure that your equipment, décor, services, and date are secured for your event. GS Event Rental requires a signed agreement at the time of deposit/reservation. 

The remainder of your rental balance will be due seven days prior to your reservation date. If someone other than the original agreement signee is to receive your rentals, please make GS Event Rental aware at this time. Equipment and décor cannot be released into your possession without full payment. 

Cancellation of our equipment, décor, and/or services for your event date will result in the forfeit of the entire reservation deposit. All cancellations are the responsibility of the client. 

Delivery within the 62863 zip code is included in the rental fees. An additional fee is charged for delivery/pick up outside the 62863 zip code and must be booked at the time of reservation. Deliveries are made between our working office hours of 8:00AM-4:30PM. Additional charges may apply for deliveries that must be set to your schedule. Charges are based on distance. All delivery fees are quoted as “tailgate” only. Set up/tear down is available for an additional fee. Set-up and tear-down arrangements must be made with GS Event Rental at the time of reservation.

Set-up and tear-down responsibility is typically laid upon the client to coordinate. If you would like GS Event Rental to set-up and/or tear-down, please note that at the time of reservation as additional fees will apply. The size of the rental order and the area/location of the event site will determine set-up and/or tear-down labor fees. These arrangements must be made during your reservation process.

All china, glass, and flatware must be rinsed free of all food and drink with water before being returned. All linen must be shaken free of food, confetti, and other décor. Make sure your caterer or event coordinator is aware of this policy to avoid additional cleaning fees being charged to the client, whose name appears on the rental agreement. 

Responsibility for all rented equipment and décor remains with the Rental Agreement signee from the time of receipt to the time of return to GS Event Rental. Please ensure that equipment and décor is secured when not in use and protected from the weather at all times. Full replacement costs for any/all broken, missing, and damaged items will be charged to the credit card on file at the conclusion of the event.

There are no refunds or credits on items not used at your event. We do not accept cancellations on items within 24 hours of the event. The client may increase the order with available items, but no decreases in quantities are permitted in that time frame.
